JOB SUMMARY
The Guest Relations Specialist executes the daily operations of the front desk, handling tasks such as ticketing and membership sales, scanning pre-sold tickets, and managing customer contacts. This role involves delivering face-to-face service and sales to both guests and members, enhancing their overall museum experience. Additionally, the position includes responsibilities for data entry and records management, ensuring all information is accurate and current. As a frontline representative of Discovery World, the specialist serves as the face of guest service and membership, consistently providing an enthusiastic and engaging approach at the front desk. The ideal candidate should exhibit exceptional customer service and communication skills, along with strong multitasking and problem-solving abilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other minor duties may be assigned.
• Exhibit excellent customer service skills and the ability to multitask in a fast-paced environment.
• Assist Discovery World members and guests at the front desk with tasks including member and guest check-in and data entry.
• Conduct point-of-sale transactions for ticketing and memberships using Altru.
• Process new member sales and handle membership renewals.
• Maintain a clean and organized constituent record database, ensuring accurate entry of guest and membership information – including online ticketing and membership sales, and duplicate records merging.
• Handle cash transactions when selling tickets and memberships at the front desk.
• Respond promptly and diplomatically to guest and member feedback and questions in person, via phone, and through email.
• Assist with digital pass resends as requested.
• Monitor front desk operations to ensure a smooth and efficient workflow throughout the day.
• Lead and manage front desk lines during peak times to ensure quick and efficient service.
• Perform other related projects and duties as assigned.
QUALIFICATIONS
The requirements listed below are representative of the qualifications necessary to perform the job.
Education and Experience
• High School diploma or GED
• One year of successful customer service experience
• Experience in sales, box office management, and/or membership services
Other Knowledge, Skills, or Abilities
• Passion for Discovery World’s mission
• Excellent attention to detail, time management, organizational, and interpersonal skills
• Proficiency in Microsoft Office program including Microsoft Word, Excel, PowerPoint, and Mail Merge
• Strong oral and written communication skills
• Experience with Blackbaud Altru or other membership database systems
• Cash handling experience
